Communication and support at UCL

Virtual Learning Environment: Moodle

ALL important announcements relating to the IMESS degree will be posted within the Virtual Learning Environment – Moodle. You should be sure to check this regularly.

E-mail Facilities

You will be issued with an e-mail account when you register at UCL. This will enable you to keep in contact with other electronic mail users both inside and outside UCL. It is UCL policy that all communication with you will only be sent to your @ucl.ac.uk email address. Please check your UCL e-mail regularly. If you prefer to use a private e-mail address, it is your responsibility to arrange forwarding of messages. If you do not do this, you will miss important messages. You are advised to make a note of the addresses of your tutors so that you can contact them in the event of problems. Emails from some private addresses may be rejected by the server as spam. Staff will not open e-mails if your name is not shown clearly. When writing to academic staff, do so sparingly and politely and be sure to make clear who you are. Don’t expect a rapid response as staff are frequently overwhelmed with work.

Notice Board

Please familiarise yourself with the School notice boards. The Graduate Studies notice board is in the lobby in front of room 341. All timetables and lists of personal tutors (see below) are displayed there, together with course and other information. You are urged to get into the habit of regularly consulting this board.

Pigeonhole

IMESS student mail will be placed in the ‘IMESS pigeon hole’ situated on the left-hand side through the entrance of SSEES (16 Taviton Street) behind the reception area. You need to check your pigeon-hole regularly as all post from the departments and external post will be put there. If you wish to receive external mail to that pigeon-hole (e.g. from family & friends) then please make sure that when addressing the envelope, the words ‘IMESS student’ appear next to your name.

Personal Tutor

You will be assigned to a member of staff who can advise you on matters related to work and social or personal problems. A list of Personal Tutors and Tutees will be posted on the Graduate Notice Board at the beginning of the first term. You are encouraged to contact your personal tutor in the first four weeks of term and you should feel free to see your personal tutor during his/her office hours or at other times (preferably by appointment), whenever you require help or advice in resolving a problem. All issues will be discussed confidentially, unless you agree otherwise. Having a personal tutor provides you with an opportunity to get to know a member of staff in a non-academic capacity. All academic matters are the responsibility of the IMESS Programme Director (Dr Richard Mole) and the Graduate Tutor (Dr Eric Gordy).

Office Hours

Students can meet members of staff to discuss academic matters without appointments during specified office hours. Each member of staff will post a notice of these hours outside his/her office at the start of each term and they will also be posted on the departmental notice boards. If consultation is required at other times, please make appointments.

Student Representation on Committees and Departmental Meetings

There are places reserved for student members on many of UCL’s committees, including Council (UCL’s governing body) and the Academic Board. The nomination/election of student members to committees is mostly the responsibility of the UCL Students Union. You can get further information from the Education and Welfare Officer of the Union. Details of which UCL committees include student members (and in what capacity) are available from the UCL Academic Services Department. Representation is also invited from the undergraduate and postgraduate student body on SSEES Committees, including the Graduate Teaching Committee, Teaching Committee, the Library and Information Resources Committee, the Staff-Student Consultative Committee, Departmental Meetings and the IMESS Programme Committee. Each department holds meetings during the year, one or two in each term. The first part of the meeting (Open Agenda) is attended by student representatives, usually with one representative per undergraduate year-group and one from the postgraduate students students. You may present items for inclusion on the agenda of this part of the meeting through your representative. Items should be submitted to the Departmental Administrator before Friday of the week preceding the meeting. Each representative will receive a copy of the agenda and minutes of the previous meeting. These will also be available from the Departmental Administrator for consultation by all students. Those interested should make themselves known to the Graduate Studies Administrator and the SSEES Site Committee (see 3.5) in the first two weeks of the Autumn/Fall Term.

MCR Committee

As a constituted student society of UCL, the MCR Committee is able to seek college funding and, through the SSEES UCLU Site Committee, make representations to UCL Students Union. The MCR also provides a forum and a point of contact for students to raise any concerns that they may have within SSEES; these are brought to the attention of the relevant SSEES committees by the student representatives. Several social events are held by the MCR Committee during the year, subsidized by the School. If you would like to join the committee, please make yourself known to its representatives or the Graduate Tutor

Erasmus Mundus General Assembly

As a degree supported and recognised for its excellence by the European Union’s Erasmus Mundus scheme, IMESS is entitled to nominate one student for representation on the Erasmus Mundus General Assembly. This nomination process takes place in late summer through the course VLE. The nominated candidate will be expected to report back to IMESS and UCL committees and students as appropriate.

IMESS Alumni Association

The IMESS Alumni Association website is currently under construction and will be launched during 2009.
