IMESS Student Handbook
Your first few days at UCL
UCL Enrolment and Registration
When you begin your programme of study, you must formally enrol with UCL. In doing this, you agree to abide by the current Statutes, Ordinances and Regulations of the University of London and of University College London. It is very important that you attend for enrolment on the date and at the time specified by the Registry.
Enrolment is organised jointly by the Registry and the Finance Division and takes place at the main UCL campus, on Gower Street. Enrolment involves completing your enrolment form, confirming fee payment arrangements, and obtaining your UCL ID card. If your fee payment has not been processed at this point, your enrolment at UCL will remain provisional until your fees have been paid. As a condition of enrolment you are required to read and understand the information provided in the UCL Student Handbook online. You will not be a student of UCL until you have completed this enrolment process. You should note that your entry to UCL may be dependent on the fulfilling of certain academic or other conditions. Please bring your formal unconditional offer letter with you when you come to enrol.
If you are in debt to UCL, you will not be allowed to continue your studies until the debt has been cleared. If you do not clear the debt before the start of the academic year, you will not be permitted to continue (even in the partner institution). You will be required to interrupt your registration and, provided you have settled your debt by then, you may resume your studies at the start of the following session.
Erasmus Mundus Fee Payment
If you are an IMESS EM scholarship holder, SSEES will arrange for your fees to be paid directly out of your scholarship funding. Otherwise fee payment is part of the enrolment procedures with UCL.
UCL Orientation for International Students
UCL runs an International Students Orientation Programme, which introduces students to UCL and London and to the support services available. Information is provided about facilities, such as IT provision and the Library; welfare and medical services. Advice will be given on how to study successfully at UCL. The programme also provides an opportunity for students to get know each other, make new friends and enjoy social activities.
During the programme you will be able to enrol formally with UCL and will be issued with your student identity card. SSEES will arrange for advice on opening a bank account during this period.
The programme will run from September 23-25 in 2009.
SSEES Induction Week
Following the UCL Orientation for International Students the main UCL induction week begins on Monday 28 September 2009. During this period there will be a number of departmental meetings and welcome sessions as well as opportunities to find out more about the social and sporting opportunities at UCL.
It is essential that all IMESS students are present by the beginning of SSEES Induction week and that all non-EU IMESS students are present for the International Students orientation.
IMESS Launch Party
There will be a celebration to welcome the new IMESS cohort on the evening of September 25 2009 (from approximately 5.30 pm). All IMESS students are invited and the event will be attended by representatives from across the IMESS consortium and from within UCL.
Student ID Cards
UCL operates a 'smart' ID card system. You will need the identity card to borrow books from UCL Libraries. The identity card must be carried with you at all times and must be presented on demand to any UCL official; where required, you must wear it visibly. You may be required to produce an identity card to gain access to departments and other premises which are not located on the Bloomsbury campus. Outside normal working hours, the card is required to gain access to UCL premises and you may be requested to show it to members of the Security Department. You will need to show the card when sitting examinations and you will also need it for entrance to UCL Union facilities after 5pm and when voting at UCL Union elections.
Once you have enrolled with Student Records, you can obtain a UCL ID card from Security and Access Systems in the Andrew Huxley Building. You will need to take proof of identity.
If you have lost your card, please go to Security and Access Systems in the Andrew Huxley Building, bringing some identification with you, e.g. passport, in order to obtain a replacement.
ISIC Cards
The International Student Identity Card (ISIC) offers serious savings on items such as airfares, accommodation, entertainment, museums, galleries, cultural attractions, eating out and fashion, music, books and loads more. ISIC is the only internationally recognised Student ID and discount card, offers over 1,000 discounts in the UK and 37,000 globally. It is endorsed by UNESCO.
Ask your UCL union for more information on this and see here for information on this and a range of other travel related discounts.
The Students Union
An important part of any student’s life at UCL is the Students Union. As well as providing the focus of student social life in the College, the UCL Union offers a wide range of services and can provide guidance and practical assistance. At SSEES you have your own site Executive and this includes a student Welfare Officer. The SSEES Student Union office is Room 533. The UCL Union is located at 25 Gordon Street, tel: 020 7679 2500. It is a good idea to familiarise yourself with what the Union can offer early on during your time at UCL. During induction week the Union holds a fair advertising its various clubs and roles.
Clubs and Societies at SSEES: The Masaryk Society
The Masyark Society is aimed at students of SSEES or those who have an interest in Eastern Europe, focusing on the culture, history and politics of the area. They host events such as talks by ambassadors, film showings and social events, all with an East European theme. In previous years they have successfully run trips to Budapest and Prague. Joining the Masaryk society is a great way of meeting like-minded students and enjoying yourself, whilst gaining valuable experience from the events.
More information on this and other opportunities at SSEES can be found on the website and at the UCL fair that takes place during induction week.
UCL Students Union
UCL Students Union provides a main focus for student life at UCL. Your student ID will gain you access to all of its many facilities – including bars, catering outlets, sports facilities, fitness centres and much else besides. UCL also owns the Bloomsbury Theatre in Gordon Street, which runs a full professional programme all year round.
University of London Union (ULU)
UCL Union members are automatically members of the University of London Union (ULU) and thus have access to its swimming pool, bars, shops and sports facilities. This is located on Malet Street, just a few minutes' walk from our building on Taviton Street.
